Privacy policy.

IncWize ("we") runs incwize.com and is responsible for the personal information described here.
This policy covers the website and the work we do on your order.
The short version
- We collect what you type into our forms and send us, and what we need to form and look after your company.
- The website has no analytics or advertising cookies and doesn't track you across other sites.
- We don't sell your information or use it for advertising.
- We share it only with the people who do the work: state filing offices, the IRS, our registered agent and mail providers, and qualified tax professionals.
- Some company details become public once filed with a state. That's how state records work, and we explain it below.
What we collect
When you start an order. Whether you live in the US; for owners outside the US, your country of residence and citizenship; the company you want (structure, state, name) or, for a company you already have, its name, state and the service you need; your name, email and, if you give one, a phone or WhatsApp number; the package you pick; and which page you came from. We save your answers once you complete the contact step, even if you don't finish the order, so we can help you pick up where you left off.
When you ask for a deadline reminder. Your email, and the state and type of company the reminder is for.
When you contact us. Your name, email, what your question is about and your message. The same goes for anything you send us by email or WhatsApp, or in our website chat once it's available. The chat is answered first by an AI assistant, and a person can join; we keep the conversation so we can follow up.
While we work on your order. What the filings need, such as the names and addresses of the company's owners, managers, directors or officers, and the details the IRS asks for on an EIN application (including an SSN or ITIN, if the responsible person has one). If our registered agent or mail provider must verify who you are, they ask for an identity document. We collect these through a secure channel after you confirm your order, never through the website forms.
When you pay. Our payment provider handles your card or bank details. We see that you paid, not your full card number.
When you visit the site. Our hosting and security providers record technical details such as your IP address, browser and the pages requested, to deliver the site and protect it from abuse. They may use strictly necessary cookies for that. We don't use analytics, advertising or tracking cookies; if that ever changes, we'll update this policy first and ask for your consent where the law requires it.
Why we use it
- To do what you ask: answer your questions, prepare and file your company's documents, apply for its EIN, provide the services in your package and send the reminders you signed up for. This is needed for our agreement with you, or for steps you asked us to take before one.
- Because you agreed: deadline reminders, and contact by WhatsApp or phone. You can withdraw that at any time.
- Because the law requires it: keeping business and tax records, and checking that US sanctions law allows us to serve you.
- To keep things safe and working: protecting the site and our customers from fraud and abuse, and fixing problems.
We don't send marketing emails unless you ask for them.
What becomes public
Documents filed with a state become public records. Depending on the state, the public record can show the company's name and address, its registered agent, and the names of the people who formed it or manage it. Using our registered agent keeps your own address off the filing where the state allows. Ask us before you order if privacy matters to you, and we'll tell you what your state publishes.
Where it's processed
IncWize works from the United States, so your information is processed there, and some of our providers may process it in other countries. Where the law requires it, for example for people in the European Union or the United Kingdom, we use recognised safeguards such as standard contractual clauses.
How long we keep it
- Questions and unfinished orders: up to 2 years after we last hear from you.
- Deadline reminders: until you ask us to stop.
- Customers: while we provide services to your company, then 7 years, because business and tax records must be kept.
- Technical logs: for the short periods our hosting and security providers set.
Records already filed with a state or the IRS stay on their files; we can't remove them.
How we protect it
Only the people who need your information to do the work can see it. The site runs over an encrypted connection, and we collect identity documents through a secure channel rather than website forms. Please don't send passport, ID or bank details through our forms or chat.
Your choices and rights
You can ask us to show you what we hold about you, correct it, delete it, send you a copy, or stop using it for a purpose. You can withdraw your consent to reminders or WhatsApp contact at any time. We may need to keep some records the law requires, and we'll tell you if so.
If you live in the European Union or the United Kingdom, you can also complain to your data protection authority. If you live in California, you have the right to know, correct and delete your personal information, and we never sell or share it for advertising.
To make a request, email [email protected]. We may ask you to confirm who you are, and we reply within one month.
Our services are for adults starting or running a business. We don't knowingly collect information from anyone under 18.
Changes to this policy
When we change this policy, we update the date at the top. If a change matters for customers, we'll also tell them by email.
